Reservations
The Friday Center’s Conference Services Manager is available during regular business hours Monday through Friday to assist with reservation requests. Reservations are considered tentative until your contract has been approved by the Center’s director. Please call 919-962-2598 or e-mail our Conference Services Manager for reservation information.
When your contractual agreement has been returned to the Center and your program has been approved, our staff will contact you to confirm the details of your event. A Conference Services Coordinator will be in touch with you on a regular basis to discuss room setup, equipment needs, food and beverage needs, and any other special concerns that you may have. We encourage you to schedule a site visit to discuss your event in person. We can arrange for audiovisual and catering staff to meet with you as well.
While every attempt will be made to reserve the space you request for your program, we may be required to reallocate space to make the best use of the facility. We suggest that you not advertise a specific meeting room in advance of your program. Information on session locations will be displayed on monitors throughout the building. Your cooperation is requested in beginning and ending your program on time and in conducting your program in a manner that is not disruptive to other groups.
Plans for any program that includes entertainment must be discussed with Center staff well in advance. Reservations for use of only the dining room for activities related to continuing education programs may be made no more than sixty (60) days in advance.
Rooms and Rental
Meeting and banquet space will be assigned based on set-up requirements and number of guests. The Friday Center reserves the right to reassign function rooms as needed to ensure maximum efficiency and guest service. Meeting rooms must be vacated promptly on schedule or an additional rental charge may be assessed. If the meeting is extended up to thirty (30) minutes beyond the scheduled ending, a late charge of $100 may be assessed; should the additional time extend beyond thirty (30) minutes, a late charge equal to the limited service rental charge may be added. A minimum occupancy rate has been established for each meeting room. If your numbers fall below that minimum, your program will be assessed a meeting room rental surcharge.
Cancellation Policy
If cancellation or postponement of a program is made less than forty-five (45) days prior to the scheduled meeting date, the Friday Center reserves the right to charge one-half of the minimum anticipated fees for all facilities and services requested. For cancellations or postponements of contracted catered functions, the actual cost of any non-recoverable catering expenses will be added. Numbers cannot be reduced at the time of cancellation. Cancellation fees will be calculated at 50 percent of the number booked as of forty-five (45) days prior to your program.
Guarantee Policy
For all functions for which charges are made on a per-person basis, the Friday Center must have a specific attendance number. An estimated guest count is due at the time the reservation is made. A final guarantee count is due by 11:00 am three (3) business days prior to the function. After that point, guaranteed numbers can be increased, but not decreased. Numbers cannot fall below 75 percent of the number booked as of forty-five (45) days prior to the program. Billing will be based on the final guarantee or actual number in attendance, whichever is greater.
Billing
Clients of the Friday Center agree to pay all applicable charges for use of Center facilities and services. Payment of invoices is due within thirty (30) days upon receipt of the invoice. Invoices paid after thirty days will be subject to a late payment charge up to the maximum amount permitted by law.
